THE BROAD
The Broad’s mission is to make contemporary art accessible to the widest possible audience. Founded in 2015 on Grand Avenue in downtown Los Angeles by philanthropists Eli and Edythe Broad, the museum offers free general admission and presents an active Program of special exhibitions and innovative live events, all within a landmark building designed by Diller Scofidio + Renfro. Welcoming around 900,000 visitors per year, The Broad is a bustling public space and serves as home to the Broad collection, one of the world’s leading collections of postwar and contemporary art, which continues to grow as new artists and artworks are added. The museum is also the headquarters of The Broad Art Foundation’s worldwide lending library, which has been loaning collection works to museums around the world since 1984. An expansion of the museum will open before the 2028 summer Olympics in Los Angeles, creating even greater public access.
ABOUT THE POSITION
Reporting to the Chief Strategy Officer, the Planning Manager will play a key role in the execution of all expansion-related programming and institutional initiatives at The Broad. This position will focus on project management, invitation list management for institutional events, CRM data procedures and integrity, and leading event coordination and execution.
The Planning Manager will provide strategic and operational support to the Chief Strategy Officer while collaborating with teams across the museum to ensure alignment. Working closely with internal stakeholders and external vendors, the Planning Manager will help ensure that all data-driven aspects of event planning and execution run smoothly.
DUTIES AND RESPONSIBILITIES
- Provide strategic support to the Chief Strategy Officer and other senior leaders in managing logistics and execution of expansion-related projects and institutional initiatives, including exhibition opening events.
- Track progress on deliverables and follow up with internal stakeholders and external vendors to ensure alignment and accountability.
- Oversee list management strategy including defining objectives, auditing existing data, designing data structure, building audience segments, authoring guest list workflows, integrating communication tools, rsvp and check-in management, post-event engagement tracking, reporting and metrics, and governance and maintenance, finding ways to streamline and automate when possible.
- Regularly and clearly communicate to executives about list strategy, invitation schedules, and RSVPs, foregrounding the most important information.
- Maintain and manage all guest lists related to expansion and institutional events such as exhibition openings, ensuring accuracy, segmentation, and alignment with institutional priorities.
- Maintain and audit event related data in The Broad’s CRM system (Salesforce), ensuring accuracy and integrity of invitee records.
- Develop and manage invitation lists, digital mailings, invitation send out schedules and follow-ups, track RSVPs, and generate event attendance reports.
- Guest relations management skills, including personal follow-ups via phone and email on behalf of the museum.
- Collaborate closely with Chief Strategy Officer and Marketing team to ensure audience targeting strategies and follow-up workflows are aligned.
- Lead production of digital invitations, seating charts, and day-of check-in tools.
- Serve as on-site lead during events, managing registration, VIP arrivals, and real-time data capture.
- Generate post-event reports and assist with follow-up efforts.
- Support vendor coordination and logistics for event elements.
- Help maintain the overall event/project calendar in partnership with various stakeholders, including Marketing, Audience Engagement, Visitor Experience, Operations, and the construction project team.
- Develop and manage budgets for various events, ensuring alignment with organizational financial goals and constraints.
- Monitor project and event progress and performance, identifying and addressing any issues or risks that may impact the project's success.
REQUIREMENTS
EXPERIENCE AND QUALIFICATIONS
- Minimum of 3 years of experience in event coordination, database management, or sponsorship support with specific experience in using Salesforce.
- Demonstrated success in managing and overseeing guest lists and CRM systems, specifically in Salesforce.
- Strong attention to detail and commitment to data accuracy.
- Familiarity with digital event platforms such as Zkipster. Proficiency in Microsoft Excel, Asana, and reporting tools.
- Ability to manage multiple tasks in a deadline-driven environment.
- Strong interpersonal communication and collaboration skills, with the ability to build and maintain effective relationships across teams and with internal stakeholders and external vendors.

PHYSICAL REQUIREMENTS
- Ability to lift, carry, push, and pull items weighing up to 25 pounds. A full range of body motion is required on the job to include frequent sitting, bending, stooping, crouching, lifting, carrying, walking, and standing.
SCHEDULE
- Work is typically performed onsite between 9 a.m. and 6 p.m., Monday through Friday with occasional evening and weekend events based on the needs of the business.
PAY RANGE
- $70,000 – $80,000 annually, based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data.
